Instructions for booking a pavilion at the Girsu Exhibition

1- All the instructions referred to in (first) above shall apply to all Arab and foreign companies wishing to participate.

2- For companies that own exhibits they wish to display in their pavilion within the exhibition, shall send a list of those exhibits to be reviewed with the General Authority of Customs and issue an entry letter that is not subject to customs duties.

3- All companies participating in the exhibition wishing to include exhibits within the exhibition should review the customs instructions and the list of prohibited items on the exhibition’s website www.girsuexpo.com , as the exhibition grounds are considered a customs area.

4- It is not allowed to take out the exhibits after the end of the exhibition except after completing the departure procedures for the participating entities.


5- Our company prepares a letter facilitating the entry of the exhibits to the General Authority of Customs, and in turn, it circulates at the border ports to facilitate the process of their entry and sending them to the customs of the exhibition grounds. The participating entity is required to write the name of the exhibition and the date of its establishment on the boxes and documents for shipping (cargo documents) of the exhibits.

6- Our company issues entry visas to Iraq. The participating parties must send a letter containing the participant’s name and passport number with a colored photocopy of the passport, preferably (45) days before the start of the exhibition so that the Relations and Media Department can take what is necessary to obtain the required features, and the participating entity undertakes to hand over the passports of the participants to the preparatory committee for the exhibition upon their arrival in Iraq.

7- The participating entity, upon entering Iraq, is obligated to participate only in the exhibition and its activities, and they are not allowed to stay for any reason after the end of the exhibition and not to participate in subsequent exhibitions if there is a specialized exhibition in another city.

8- The number of participants for each pavilion or company is according to the reserved space, which is (3) people for each (12 m²), and the number of people is increased according to the increase in the reserved space, and by one person for each additional (12 m²). 

General instructions for participants and guests at the Girsu Fair and its accompanying events

1- The exhibition opens its doors to visitors daily from 10:00 AM until 21:00, companies that have a pavilion in the exhibition must be present at 9:30 in the morning.

2- Participants in the exhibition's pavilions are allowed to participate in all accompanying events, except for the morning tour, which is reserved for the heads of delegations participating in the exhibition and who are nominated by these authorities.

3- For Arab and foreign who are participating from outside Basra Governorate, they will be transferred daily from their place of residence in one of our approved hotels to the exhibition hall in our private cars, so please gather them in the hotel lobby at 9:00 AM.

4- Maintain the cleanliness of the suites and all devices and equipment without damage.

5- Keep the Maintenance of participants’ card that contains the exhibition data and the participant's serial number.

6- In the event of a request for administrative or legal support, contact the Preparatory Committee directly to provide the necessary support.

7- If the participants wish to hold secondary meetings, they can request support from the Preparatory Committee.
8- If the participant withdraws after confirming the reservation, the prepaid participation fees will be forfeited.

9- The participating party vacates the rented pavilion, covered or uncovered, and delivers it to the technical department of the exhibition management, free of concerns and damages. In contrast, the participating party bears the costs of damages without the need for an official warning or referral to the courts, starting from the day following the end of the exhibition and within (10) days except for public holidays, The exhibition management does not bear any responsibility for the remained exhibits or any other materials during the mentioned period. and our company has the right to dispose of the materials and exhibits after the expiry of this period.

10- if the exhibits are coming from outside Iraq and with a customs declaration, they will be referred to the customs warehouse until the end of the temporary customs entry period.

11- It is not allowed to take out the exhibits after the expiry of the display period unless clearance is obtained from the departments of the concerned company (financial/ interior/ technical/ control/ customs), the reserved spa, and the type of decoration that is recorded in the minutes of the Warehouse Committee is reliable, and if any change of space occurred or the type of decoration in the registration form when booking online for any reason, and the participating party has no right to object and It is not allowed to recover any amount due to the non-exploitation space leased by the participating entity or the cancellation of the decoration request.

12- The approval of the (preparatory committee) shall be obtained before displaying or circulating the brochures, publications, and CDs. The participant is obligated not to distribute publications that are not related to the exhibition and its objectives and obtain the approval of the exhibition management on all brochures and publications before distributing them and provide us with two forms of them that will be stamped by our company, one of them is kept and the other is returned to the participating entity and the section Public Relations and Advertising Implement that.

13- The participating entity or its representative shall attend with the responsible employee for participation from the internal exhibitions section upon customs inspection of the exhibits upon arrival at the exhibition grounds.

14- All participants shall review the customs instructions and the list of prohibited items on the exhibition’s website because the exhibition is a customs area.

15- The last date to allow the entry of exhibits is two days before the opening date of the exhibition, and the arrangement of exhibits in the pavilions shall be during those two days.

16- The participating entity has the right to organize (the national day) for the participating country, according to their choice, in determining the time in coordination with the exhibition management (Relationship and Media Section).

17- The damages that occur inside the exhibition grounds during the exhibition period are subject to the provisions of tort liability and under Iraqi law.

18- The participating entity is responsible for guarding its assets while entering or taking them out to the hall and during the duration of the exhibition and General guarding is the responsibility of the exhibition management. In the event of appointing guards, the approval of our company shall be obtained for the guards to start guarding the booth.

19- The exhibition management has the right, under force majeure circumstances, beyond its control, to cancel or postpone the opening date of the exhibition, and when the exhibition’s preparatory committee cancels due to force majeure, the participation fees are returned to the participating entities.

20- the participating entity is not entitled to assign to others or participate with them in all or some of the spaces leased by them, whether for or without fees, except after obtaining the approval of the exhibition management, Government institutions, and bodies of foreign countries that reserve a suite of more than 100 meters in size are excluded from this, provided that the preparatory committee shall be informed of the names of the participating companies and parties so that it can take the necessary action.

21- The participant must inform the exhibition management with a detailed report on any incident that occurs to his exhibits and property immediately so that appropriate measures can be taken at the time.

22- The companies that hold Israeli citizenship and are initially registered in Israel are not allowed to participate.

23- Trucks and private cars are not allowed inside the exhibition halls; parking spaces can be used.

24- The foodstuffs that the participants display is subject to health checks by the health centers at the border crossing points and are not distributed until after the above-mentioned authorities certify that they are fit for human consumption.

25- In the event of any error in the interpretation of any of the conditions and instructions for participation, the copy written in Arabic is the reliable copy, Iraqi law is applicable.

26- Participants wishing to obtain entry visas to Iraq must send a request to issue an entry visa addressed to our company, attaching it to a list that includes the participant’s name and passport number with a colored copy of the passport, in addition to filling out the form for issuing entry visas installed in our company’s electronic reservation system, preferably This should be (45) days before the commencement of the exhibition so that the Relations and Media Department can take the necessary measures to obtain the required visas, except for the citizens of Syria and Nigeria, shall be three months before.

27- Participating parties wishing to reserve the conference hall or secondary meeting rooms during the exhibition activities must inform the preparatory committee to book them, and the cost of booking shall be added to the final bill of the participants, and the list of wages in the supporting services shall be reviewed.

28- Taking into account not accepting pledges to postpone the payment of participation fees.
